Attach Notes to Advances

Attach specific notes to a show advance, ensuring that all pertinent information is communicated to artist teams.

Steps to Include Notes in a Show Advance

  1. Access the Event:

    • Navigate to the specific event within Opendate.

  2. Initiate Show Advance:

    • Click on the Action button.

    • Select Send Show Advance from the dropdown menu.

  3. Include Notes:

    • In the show advance modal, you'll see an option to Include Notes.

    • Select the desired notes to attach. These can be:

      • Existing Notes: Notes previously added to the event.

      • New Notes: Click on New Note to create one on the spot.

      • Template Notes: Utilize pre-saved templates for consistency.

  4. Send the Advance:

    • After selecting the appropriate notes, proceed to send the show advance.


Creating and Managing Note Templates

To streamline the process of adding notes:

  • Create a Note Template:

    • Navigate to the Event Templates section.

    • Click on New Template.

    • Add the desired note content (e.g., Load-In Information).

    • Save the template with a recognizable name (e.g., "Load Info Template").

  • Apply Template to New Events:

    • When creating a new event, select the appropriate event template.

    • The associated notes will automatically populate in the event's notes section.
